A Personal Information Bank (PIB) is a structured collection of personal information that is searchable using an individual’s name or another identifier, mass contact list, client listing, or a program database.

Directory of Personal Information Banks

Under the Protection of Privacy Act (POPA), all public bodies are required to create a public directory that lists the public body’s PIBs.

Each PIB entry within the directory describes the type of personal information that is collected and how that personal information is used. PIB directory entries do not provide access to personal information contained within the database, and will be added or deleted as they are identified, scheduled or decommissioned.

The directory must include, for each personal information bank, the following:

  1. the title and location of the personal information bank;
  2. a description of the kind of personal information and the categories of individuals whose personal information is included;
  3. the authority for collecting the personal information;
  4. the purposes for which the personal information was collected or compiled and the purposes for which it is used or disclosed.
